Balancing work and caregiving responsibilities can be challenging, especially when unexpected disruptions occur. The University of Arizona provides eligible employees with a valuable solution through our partnership with Bright Horizons. The University of Arizona provides eligible employees up to 80 hours of backup care per fiscal year for dependents or qualifying relatives. This service is available nationwide.

NEW: You no longer have to re-enroll annually. Once you've enrolled, it will roll over year-to-year, provided you remain eligible. Also, if you have already registered with Bright Horizons and created a profile, you don't need to do anything else. If you haven't created a profile with Bright Horizons, we do encourage you to do so before you need care.

Steps to Enroll

STEP 1: Enroll with the University of Arizona

You must enroll with the University of Arizona before requesting care with Bright Horizons. Your enrollment will continue year-to-year, provided you remain eligible.

 

STEP 2: Register with Bright Horizons

Register with Bright Horizons if you haven't previously created an account. Please allow Bright Horizons time (two to three days) to process your eligibility. 

Registering means:

  1. Creating an account with Bright Horizon. It does not automatically register you in the Backup Care program. That is STEP 3.
  2. Indicating your life stage and interests. You may skip this step and come back to it.

Registering with Bright Horizons is free. You will be charged a small co-pay only when you use the program. 

 

STEP 3: Complete your Profile on Bright Horizons

After you create an account with Bright Horizons, you will need to complete your profile. It may feel like you're requesting care initially, but you're not. 

Your profile includes:

  • Your contact information
  • Your dependents and information about them a caregiver would need to know.

This process can take as little as 5 minutes or up to 15 minutes, based on your unique family situation. Please allow extra time to complete and upload documentation. 

Once you complete your profile, you are fully registered for the Backup Care Program and can request care when needed. 

Important Program Information

Tax Implications: Per the IRS*, when Dependent Care Benefits exceed $5,000 a year, the excess becomes taxable income.
The calculated amount combines: 
−The Flexible Spending Account deduction for dependent care
−The U of A Childcare Choice Employee Reimbursement Program for Qualified Childcare Expenses (U of A Childcare Choice – Employee), and/or 
−The Backup Care Program (Note: Care utilized in December will count towards the next tax year, not the year care was provided).

Bright Horizons Backup Care provides access to backup care for your children, adult, and older adult family members during a lapse or breakdown in normal care arrangements.

No. Eligible University of Arizona employees do not have to pay a membership fee to receive subsidized backup care. However, program participants may be responsible for paying the nonsubsidized hourly rate in some circumstances. Refer to the Program Guidelines above for details.

Yes. Registration in the program is a two-step process: university registration and vendor registration.

Bright Horizons takes several business days to process eligibility. Please allow this time before trying to create your account. If you need care before you can register with Bright Horizons, please call them at 1-877-BH-CARES (242-2737). They will expedite your request so that you can schedule care. 

Yes. In the case of two eligible parents – a pair of employees, a pair of students, or an employee-student pair – each may register for the service using their NetID and password.

Dependent Care and Tax Liability Issues - Employees

The Internal Revenue Service has determined that employees may allocate up to $5,000 per year in a dependent care assistance account established by their employer. This $5,000 allocation includes the combined monies applied to the following UA-sponsored pre-tax programs:

  • Flexible Spending Account (FSA)* for dependent (child and/or adult/older adult) care only (excludes medical expenses)
  • UA Childcare Choice Employee Reimbursement Program for Qualified Childcare Expenses
  • Employee Sick and Back-Up Childcare (includes the entire value of the program -employee and employer costs)

*You may designate an amount of pre-tax salary to be placed in a dependent care-related and/or medical expenses-related FSA. These tax-free dollars may then be used to reimburse you for qualified out-of-pocket medical care and/or dependent care (child and/or adult/older adult) expenses. You reduce your taxable income, as no Social Security, federal, or state income taxes are taken from the designated dollars, and this amount is excluded from your taxable income.

Please note that dependent care expenditures that exceed the $5,000 limit may be subject to income tax. The annual FSA figures (total costs) will appear on your Form W-2 Wage and Tax Statement. Flu Shot Clinics

Influenza can be a very serious disease. Getting your seasonal flu shot is an easy, effective way to help protect yourself, your family, and your community. 

Life & Work Connections offers free flu shot clinics for University of Arizona employees on campus and around the state each year in collaboration with the Arizona Department of Administration Benefits and the Healthwaves corporate wellness team. 

Note: flu shots are available for employees only, students can receive flu shots through Campus Health.

On-Campus Clinics are closed for 2025.
Utilize these other options to get your flu shot.

State & Nationwide Options

In Arizona: ADOA & Healthwaves Hosted Clinics

ADOA hosts other clinics for state employees around Arizona. (Bring your Flu Shot Consent Form with Alternate ID to ADOA or Healthwaves clinics)   

Primary Care Physician or Local Pharmacy

Bring your medical insurance card to either visit for a free shot. Ask the pharmacist to bill your medical carrier NOT your MedImpact pharmacy coverage. Locate a participating pharmacy by clicking on your insurance provider below. 

1.  Get Your Alternate Employee ID

You will need your Alternate Employee ID to receive a free flu shot. Your Alternative Employee ID confirms that you are eligible for benefits as a State of Arizona employee. Find Your Alternate Employee ID in the University Benefits tile of UAccess, at the top of the Benefits Summary tab. You will need to add this number to the Flu Shot Consent Form.

A Flu Shot Consent Form is needed for each person receiving a flu shot. You MUST have your Alternate Employee ID added to this form. Bring the form and medical insurance card with you.

Once on the Benefits screen, you'll see your Alternate Employee ID in the middle of the page. Take that number and then add it to the Flu Shot Consent Form in the appropriate box under "State Employee Information" (see image).

Answering your questions about flu shot clinics

If you are a University employee eligible for full benefits and enrolled in an ADOA medical plan, you’re good to go! This includes postdoctoral research associates who are fully funded by grants.

University of Arizona retirees may also get a free flu shot at one of the clinics organized by Life & Work Connections.

Graduate students who purchase Blue Cross Blue Shield of Arizona insurance through the University can receive a free shot at a clinic organized by Life & Work Connections. Please let the on-site nurse know that you need to fill out a different form, and have your medical insurance card ready.

Undergraduate and graduate students who are listed as dependents on a parent’s medical insurance may also use the employee clinics – if the parent is a University of Arizona employee. You’ll need your parent’s alternate employee ID number and a copy of your insurance card.

If you are a student at the University of Arizona, but you are not a graduate student with Blue Cross Blue Shield of Arizona insurance, nor a student listed as an employee's dependent, you can receive a flu shot from Campus Health Services. Please check their website for availability and costs.

Dependents covered by your medical insurance, including spouses and children age 4 and older, are eligible for free flu vaccinations at campus and ADOA clinics.

Your dependent will need their own appointment and Flu Shot Consent Form. They should use your alternate employee ID number on the form, and they should use their own information to fill out the rest of the form. They’ll also need to have their health insurance card on hand.

Absolutely! Ask the nurse at the flu shot clinic for a signed form that proves you received your immunization.

If you’re having difficulty breathing, or if you have a cough, a sore throat, or a runny nose, or a fever above 100.4 degrees Fahrenheit, please stay home!

Call Healthwaves at 480-968-1886 to cancel your appointment, and re-register for an open slot on another day.

University of Arizona employees should not request flu vaccinations from Campus Health Services, which prioritizes student immunizations.

If you are unable to make it to any of the campus employee clinics, please check for a convenient ADOA or Healthwaves date and location, visit your primary care physician, or explore the options at your local pharmacy.
