Childcare Choice - Employee
Easing the Cost of Childcare: Your setting, your location, and your curriculum.
The Childcare Choice – Employee program offers up to $2,000 in reimbursements per fiscal year per household for qualifying childcare. The childcare you claim must occur in the United States and must be work-related (i.e., necessary to allow you or other usual caregivers to attend work). You must be eligible for full benefits as a University of Arizona employee to participate.
The 2024–2025 program is OPEN.

Tax Implications: Per the IRS*, when Dependent Care Benefits exceed $5,000 a year, the excess becomes taxable income.
The calculated amount combines:
−The Flexible Spending Account deduction for dependent care
−The U of A Childcare Choice Employee Reimbursement Program for Qualified Childcare Expenses (U of A Childcare Choice – Employee), and/or
−The Back-Up Care Program.

How to Submit a Cost Form
Once approved, you must submit a cost form quarterly to receive reimbursement.
Log into UAccess and select the Life & Work Connections tile (the same used to apply). Select “Submit Cost Form (upper left corner menu). Click “next” (bottom right corner) to access the form.

You do not have to submit receipts with your cost form. However, we recommend you save yours. We conduct quarterly compliance checks, and a randomly selected percentage of approved participants are asked to email their receipts.
You MUST submit a cost form quarterly to receive your reimbursement.
Yes. All eligible employees must complete a new program application each fiscal year.
You will receive an email indicating when the maximum program reimbursement amount has been reached. You can also verify your balance in UAccess.
If your application is approved mid-fiscal year, you will have a one-time opportunity to claim any qualifying childcare expenses from the beginning of the quarter in which you were waitlisted. You must submit your claim before the deadline of the first paycheck after your approval.

You can add a child or a new provider in UAccess Employee. Navigate to the Childcare Choice tile of your Employee Main Homepage, and select “Append Approved Application” in the left column. Follow the instructions to update your information.
No. A child’s birthdate and the name of the childcare program in which the child is enrolled are both needed to apply for Childcare Choice.
Childcare Choice reimbursements are given per household. Reimbursements do not vary based on the number of children within the household.
No. Only approved program participants need to submit Cost Forms.
The Internal Revenue Service has determined that employers may exclude a maximum of $5,000 ($2,500 if married filing separately) per year from an employee’s income through a dependent care assistance program established by the employer. The $5,000 includes combined monies applied through the following University-sponsored pre-tax programs:
- Flexible Spending Account (FSA)* for qualified dependent care (child and/or elder) expenses only (excludes medical expenses).
- Childcare Choice - Employee for qualified childcare expenses.
- Employee Backup Care Program for qualified dependent care (child and/or elder) expenses only (includes the value of employer-subsidized costs).
Dependent care expenditures that exceed the IRS’s limit will be taxed. The Childcare Choice and the Back-Up Care program run on a fiscal year calendar (July 1st to June 30th), but the Dependent Care FSA and taxes follow a year calendar schedule (January 1st to December 31st). Please consult your professional tax advisor to identify the full tax implications of the program use and determine the optimal use of dependent care offerings.
